Write to the DPO about anything on this page — to ask what data we hold on you, to correct it, to withdraw consent, or to complain.
Who this covers
AANRS is a sole proprietorship providing commercial fridge, chiller and freezer rental in Singapore. Some equipment sales and servicing are invoiced by our related company, Alan Refrigeration Services Pte Ltd. Both operate from the same premises and share this policy and the same Data Protection Officer.
What we collect, and why
We only collect what we need to quote for, deliver and collect equipment:
- When you enquire — your name, mobile number, company name and email address, plus the equipment and dates you are asking about, so we can quote and reply.
- When you book— the delivery address, the site contact’s name and mobile number, and the delivery and collection dates, so our team can reach the right person at the right place.
- When we deliver — photographs of the installed equipment, for our own service records and, only with permission, for marketing. See Photographs below.
- When you pay — billing details and transaction records, which we are required by law to keep.
- When you visit this website — anonymous usage statistics. See This website below.
We do not collect NRIC numbers, and we do not ask for financial account details over WhatsApp or email.
How your enquiry actually reaches us
Worth being precise about, because it is better than most: when you use the enquiry form on this website, the website itself does not store what you type. Your details are placed into a WhatsApp message which you then choose to send. If you do not send it, we never receive it.
What you type is kept in your own browser while you are filling the form or building an equipment list, so nothing is lost if you refresh the page. It stays on your device and is cleared when you clear your browser data.
Because most of our conversations happen on WhatsApp, those messages sit in WhatsApp’s service as well as on our phones. WhatsApp is operated by Meta and has its own privacy terms.
Photographs at your event or premises
Our team photographs equipment after installation. These photos sometimes show your branding, your staff or members of the public. We use them for our own service records as a matter of course.
We ask before using a photograph of your site for marketing. If a photograph of you, your staff or your premises has been published and you would rather it were not, email the DPO and we will remove it.
Who we share data with
We do not sell personal data, and we do not share it for anyone else’s marketing. We do use ordinary business services that necessarily handle some of it:
- Messaging — WhatsApp (Meta), for customer conversations.
- Marketplace and listings — Carousell and Google Business Profile, where enquiries also reach us and those conversations are held.
- Website hosting and security — Hostinger and Cloudflare.
- Website statistics — Google Analytics.
- Accounting and invoicing — Xero, and our accountant.
- Internal notes and enquiry tracking — Notion, where we keep a record of enquiries so they do not get lost.
- Delivery — where a third-party logistics provider is used for a job, the delivery address and site contact are shared with them for that job only.
Several of these are operated outside Singapore. Where that happens we rely on those providers’ own contractual data protection terms. We may also disclose data where the law requires it.
This website
This site uses Google Analytics to count visits and see which pages are useful. It sets cookies in your browser and records an approximate location, device type and the pages you view. We use it in aggregate; we do not use it to identify you personally.
This site does not show a cookie consent banner. You can block or delete cookies in your browser settings, or install Google’s opt-out add-on, and the site will continue to work normally.
How long we keep it
Records of completed jobs, invoices and payments are kept for at least five years, because Singapore tax law requires us to be able to produce them. Enquiries that never became bookings, and WhatsApp conversations, are kept while they are still useful for serving you and are cleared out periodically.
We are in the middle of moving from paper-and-messaging records into a proper system, and part of that work is putting scheduled deletion in place. Until it is, you can always ask the DPO to delete what we hold on you and we will do it for anything we are not legally required to keep.
Your rights
- Ask what we hold. Email the DPO and we will tell you what personal data we have about you and how it has been used.
- Correct it. Tell us what is wrong and we will fix it.
- Withdraw consent. You can tell us to stop contacting you at any time. We will still need to keep records of jobs already done.
We will respond as soon as we reasonably can. If a request will take us longer than 30 days, we will tell you and give you a date. There is normally no charge.
Marketing messages
We contact you about your own enquiries and bookings. If we send you promotional messages by phone, SMS or WhatsApp and you do not want them, reply and tell us and we will stop.
Keeping it safe
Customer information is held on services we control and is shared only with the people involved in fulfilling your job. Our delivery crew work from a job sheet listing the current deliveries, which shows the site address and site contact for each one.
We are currently moving our internal tools from shared access links onto individual staff logins, so that access can be granted and withdrawn per person. We do not claim to be certified or audited. If something does go wrong, we will assess it and notify the PDPC and the people affected where the law requires it.
Changes
If we change how we handle personal data we will update this page and change the date at the top.
